Hotel operations

Hotel operations software without a PMS

Most hotel guest experience platforms assume you already have a property management system. Stayhos is built to work without one — room QR cards, a browser-based Guest Hub, and a staff request dashboard, all operational from the day you set up your rooms.

  • Independent and boutique hotels
  • No PMS integration required
  • Operational from day one

What this means

What hotel software without a PMS actually means

Stayhos works without a PMS. Guests scan a room QR code to open a browser-based Guest Hub — no app download, no account, and no live reservation data required. The room number is encoded in the QR card itself. Hotels can optionally import a CSV of active stays to validate QR access against verified guests. Real PMS API sync is on the roadmap and is not live today.

Why independent hotels need this

Six reasons independent hotels need a guest request system without a PMS

  1. Most guest experience platforms are designed around a PMS

Platforms like Duve and Canary Technologies are built to pull live reservation data from a PMS to automate guest communication and request routing. Without a PMS, these tools cannot run as designed — leaving independent hotels without a practical option.

  2. Phone calls and notebooks do not scale past 30 rooms

In a small property a phone call works most of the time. At 40 to 60 rooms with multiple shifts, requests fall through because the system relies on individual memory and verbal handoffs. There is no shared record and no visibility for the next shift.

  3. A room QR code carries room context without live reservation data

A hotel does not need a live reservation database to route a request correctly — it only needs to know which room the guest is in. A QR card encodes that context at installation. Every submission arrives pre-tagged with the room number without any PMS connection.

  4. Optional CSV stay import adds a validated guest layer

Hotels can export a list of active stays from their booking system and upload it as a CSV. Stayhos can then validate QR scans against that list — confirming the guest is in the record before opening the Guest Hub. This is optional and not required to start.

  5. Shift handoff becomes visible without a reservation database

Every open and resolved request appears in the Staff Dashboard. Incoming shifts know exactly what is still pending without a verbal briefing. Requests no longer fall through the gap between one team's departure and the next team's arrival.

  6. A pilot starts in under a day with no IT project

Room QR codes are configured manually in the Stayhos dashboard. Room number and details are entered once. QR cards are printed and placed. The system starts receiving requests the same day. No PMS connection, no integration timeline, no IT involvement.

How it works

Four components, no PMS required

Room QR Cards with room context encoded

Each Room QR Card carries a unique code for a specific room. Guests scan it with their phone camera — the browser opens the Guest Hub, pre-tagged with their room. No app download, no account, no typing a room number.

Guest Hub — request from the browser

Housekeeping, maintenance, extra amenities, late checkout requests — guests submit from their phone browser. No phone call, no queuing at reception, no app to install. The Guest Hub is available in English, Greek, German, Polish, and Czech.

Staff Dashboard — real-time request queue with room context

Every request arrives tagged with the room number and request type. Staff mark items in progress and complete. Managers see open and resolved requests across all rooms without rebuilding history from notes.

Optional CSV stay import for guest validation

Hotels can upload a CSV export of active stays. Stayhos validates QR scans against the uploaded list. This is an optional layer, not a dependency — the system routes requests correctly with or without it.

FAQ

Hotel software without a PMS — common questions

Can a hotel manage guest operations without a PMS?

Yes. Stayhos works without a PMS. Guests scan a room QR code to open a browser-based Guest Hub — no app, no account, and no live reservation data required. The room number is encoded in the QR card itself. Hotels can optionally import a CSV of active stays to validate QR access. Real PMS API sync is on the roadmap and is not live today.

What is the difference between a PMS and hotel operations software?

A property management system (PMS) manages reservations, billing, room inventory, and front-desk check-in flows. Hotel operations software manages what happens after the guest is in the room — service requests, staff task routing, and shift visibility. The two systems serve different functions. A hotel can run in-stay operations effectively without a PMS.

Does Stayhos integrate with a PMS?

Stayhos does not currently integrate with a PMS via API. It works without one. Hotels can optionally import a CSV export of active stays; Stayhos validates QR scans against the uploaded list. Full PMS API sync — with Mews, Cloudbeds, Opera, and other providers — is on the roadmap and is not live today.

How does CSV stay import work without a live PMS?

Hotels export a list of active stays from their booking system or spreadsheet and upload it as a CSV to the Stayhos dashboard. Stayhos checks each QR scan against the uploaded guest list to confirm the room is occupied. The CSV import is a manual step — it is not a live API connection and does not require a PMS.

Which guest experience tools work without PMS integration?

Most guest messaging and experience platforms — including Duve and Canary Technologies — are designed to pull live reservation data from a PMS. Stayhos is built for manual room configuration: rooms are set up without a live PMS link, making it practical for independent hotels that have not adopted a PMS or prefer not to integrate one.

How quickly can a hotel start without a PMS?

A property using manual room configuration can be operational within a day. Room QR codes are generated after setup in the dashboard, printed or placed on cards, and installed in rooms. No IT project or PMS integration is required before the system starts receiving requests.

What guest request analytics are available without a PMS?

The Stayhos Staff Dashboard provides read-only request analytics: volume by room, request type, and time period. Hotel managers can see which rooms generate the most requests, which request categories are most frequent, and how quickly requests move from pending to completed. These analytics do not require a PMS or reservation data.

Can hotels validate guest QR access without a live PMS connection?

Yes. Hotels can upload a CSV export of active guest stays. Stayhos checks each QR scan against the uploaded list and confirms the room is in the record before opening the Guest Hub. This optional validation layer works independently of any PMS — no API connection is needed.

Start a pilot

Start managing guest requests without a PMS

A Stayhos pilot starts with a focused room group — one floor or wing, 50 to 100 rooms. No PMS integration is required. Guests scan a room QR card, requests land in the Staff Dashboard, and you see whether the system fits your hotel in two to four weeks.
